Description
Main tasks
- Pro-active management of the office, supplies and facilities
- Reception & telephone switch board, welcome clients
- Supervision of the IT systems, procedures, installation
- Mail-Office
(incoming & outgoing mail) - Manage the car fleet and the parking places
- Manage the mobile phone and laptops stock
- Manage all suppliers and contractors
- Management of procurement related procedures
- Pro-active support of the Director on different tasks (survey, benchmark, event organization)
- Contribution to internal projects on a case-by-case basis
- Main point of contact of the local Administration
Office & Facility Management
- General procurement (i.e. beverages, office supplies, etc.)
- Coordination of travel & accommodation (trainings, hotel booking …)
- Arranging & controlling of facility projects
(incl. budget & premises) together with the Director - Support & control of (technical) office & facility maintenance work
- Key contact person for contractors and suppliers
(technical questions/difficulties) - Key contact of the building Manager
- IT (hardware configuration together with IT supported by other GAM locations)
HR Admin
- Work the setup and onboarding of new and departing colleagues
- Collect of HR documents (i.e sick leaves, holidays …)
- Collect HR info on the market
Profil recherché
Requirements
- A good team player with a proactive, problem-solving, and client-driven attitude
- Experience with Luxembourg payroll
- Experience in common software tools (MS Office).
- Fluency in French is mandatory. Good English communication (written, verbal) and documentation skills.
