Description
As Senior Administrative Officer, you will have the following responsibilities:
Billing & Invoicing:
- Handle the full accounts payable process, including controlling and recording incoming invoices, monitoring payment due dates, and ensuring timely reconciliation with bank statements.
- Assist with accounts receivable by preparing client invoices, communicating directly with clients to ensure prompt payments, and generating detailed financial reports.
- Record revenue accurately and manage foreign exchange rate information for international transactions.
- Ensure the smooth operation of financial processes with a focus on accuracy and timeliness.
Customer Management:
- Conduct thorough KYC processes for new and existing clients, ensuring compliance with regulatory requirements.
- Maintain up-to-date and accurate customer information, supporting a seamless client experience.
- Act as the primary point of contact for customer queries related to account setup, billing issues, and compliance documentation.
- Support the legal team with contract management and ensure all client records are meticulously organized.
Other Duties:
- Provide regular reporting, support specific projects, and act as a backup for the direct supervisor.
- Arrange travel for staff, manage expense claims, and organize company participation in industry fairs.
- Oversee office correspondence, supplies, equipment, and compliance with health and safety standards.
Profil recherché
Qualities of a successful Senior Administrative Officer :
- Degree in business administration or a related field
- About 5 years of experience in a multicultural environment
- Strong analytical and problem-solving skills, good time management and organizational skills
- Be able to work independently and collaboratively as a team member
- Fluent in English. Additional languages as French, German would be an asset
